AI Readiness Checklist

Use this to decide what to automate first, what data to protect, and what “success” should mean for your team.

Start Here (10 minutes)

  • List your top 10 customer questions (calls, DMs, email, website).
  • List the 5 tasks that steal the most owner/staff time each week.
  • Note where work gets stuck: scheduling, follow-ups, quoting, invoicing, or handoffs.

Best AI First Projects

  • Website chat that answers FAQs and routes real leads to you.
  • Appointment booking + confirmation + rescheduling flows.
  • Follow-up reminders (quotes, appointments, renewals, missed calls).
  • Internal SOP / policy search so staff can find answers quickly.

Data & Privacy Checks (PIPEDA-aware)

  • Identify what information is sensitive (health, financial, minors, IDs).
  • Decide what data should never be sent to third-party tools.
  • Confirm who needs access and set roles (owner, staff, contractor).
  • Ask vendors about retention, training, and export/delete options.

Tool & Integration Reality

  • List your current tools (website, booking, CRM, POS, email, calendar).
  • Confirm where the source of truth lives (customer list, schedule, inventory).
  • Check if you have API access or admin access to connect tools.

Success Definition (So You Don’t Guess)

  • Pick 1–2 metrics to improve (fewer missed calls, faster response, fewer no-shows).
  • Set a baseline today (how many inquiries, how long to reply, no-show rate).
  • Decide a review cadence (weekly for the first month).
